Business Development Update Tutorial
The following is a tutorial on how to use the new Update page. Upon entering the update page, you will see the following
On the right of the screen, is a list of filters. Selecting one of these, while control what is shown in the list on the left. For example, if I chose Ford, only quotes for Ford will be choosable in the list on the left. Reselecting all, while bring back the default list. Be aware though, that if you are in the middle of changing or entering some data, and change the filter, you will lose what you are working on. Be sure to click save first.
On the left, is a list of all North American (in this case) quote numbers in the system. Additional information above the quote number, includes the priority Level, OEM and the parts description. Selecting a quote from the list, while bring you to the following interface.
Now that you have selected an item from the list to the top left, the above interface should show up. (Additionally, this interface will show up, if you came to the update screen, by clicking a link from any report). Here, the primary action is to update a programs status and to change its priority level. The box for typing your status in is no longer fixed in size. Therefore if you continue to type in the status, it will continue to grow. Additionally, the check box labelled "Show on Report" determines if this Quote# will show up on the various reports. If there is a checkbox in this field, this item will be shown on the report. Once you are satisfied with the changes you have made, be sure to click "SAVE". CAUTION, if you do not press save, any changes you have made, will be lost. If, you do not like what you have typed, press cancel, and it will reset the page to its previous values. Also note, that once you have pressed "SAVE" you will no longer be able to cancel.
The information at the top of the report (OEM, Quote#, etc) is summary data, generated by the RFQ/Quote process. Towards the bottom of the screen, you will see a section labelled "Customer Correspondance". In the example above, this item has no coorespondances attached, so it merely has an "Add" button shown. Clicking the add button, will bring up the following window.
Customer correspondance section is used to link external web based documents (for example off a business developments offices website) to an individual quote# within the business development system. There is no limit to the number of attachments an item within the bizdev system can have. However, if the links are broken, this feature quickly becomes useless. In the description field, type what you want the document to be named within the business development system. In the URL field, you type the web based address of where the document is (such as www.meridian-mag.com/veryimportant.pdf). You do not need to put "http://" in front of the address. Pressing the "Cancel" button will simply close this window, and return you to the business development update screen (nothing will have changed). However, if you click "Save" you will return to the update page, which will now look like this.
Clicking on the underlined description "This is an example customer correspondence" will open a new window, containing the attached document. Click the remove button to remove any correspondence (the button to the right, will remove the item on the left, if there are multiple listed, there will be multiple remove buttons. Click "Add" again, to add another correspondence).
Now down the side are a number of command buttons. Some of which will not always appear, they are as follows:
ReQuote
Brings this quote #, back to the RFQ screen, and creates a new RFQ with the existing information. For example, if M99-012b was requoted, you would be brought to a new RFQ, with the Quote# set to M99-12c and all the information, such as customer, will automatically be filled in. Beyond this point, treat a requote as you would a normal RFQ.
View RFQ
This brings up the origional RFQ that was made for this Quote#. This is viewable only, and cannot be editted. Conveinant for printing RFQ's after the fact.
Eng Change
This is currently only a placeholder. In the future, when an item has an engineering change, it will be handled through this button.
Quote Feedback
Clicking this button brings up the Quote Feedback interface, in a new window. It looks like:

Using this window, you either edit/view an existing feedback report for a given Quote#, or create a new one. There can only be one attached to each Quote#. This section will be used to track how a given quote did with the customer, and why we won/lost the business. The comments section is not limited by size, and once you have filled all selected values in, click "Save/Update Changes". Clicking "Close Window" will close this window down, and return to you the update screen. However, not once again, if you have made changes, and not clicked save yet, these changes will be lost. There is no problem with pressing Save multiple times, so if you are in doubt, I highly recommend you press save before Closing the window.
Notify Off/Notify On
Notify will default to Off. Any item that wish to monitor changes to it within the system, you should click this button, until it says "Notify On". You can monitor as many Quote#'s as wanted. Once notification is turned to On, you will recieve an email any time someone updates the status of this item. The email will contain, who and when item was changed, and a link to the update page.
View QAF
This will bring up the final QAF. It is for display only, and cannot be editted. If there is no QAF, you will recieve a message to this effect.
Return
This button does not always appear. If you entered the update page via the Business Development Menu, it will not appear. However, if you entered the page from a search, or a report, it will. Clicking this button, will return you to the report or search you were viewing. It will automatically scroll down to the last item you viewed. This is a handy way of updating a bunch of items from a search. For example, as a BDM, I could search for all items that belong to me. For each item, after clicking the QuoteNm in the search results, I would be brought to the update page. After, I made any changes, I click the return button, and will automatically be returned to my search results, positioned to click the next item in the list.
Exit
This button will return you to business development menu, for whatever region you are in.
